JOB TITLE:   Program Administrative Assistant

PROGRAM  Behavior Services / Operations

CLASSIFICATION: Exempt - 1099-NEC Contractor

TYPE: Part Time - 15 - 20 hrs per week with opportunity to increase hours after initial training is complete

1. Purpose of Job

The purpose of this position is to provide administrative assistance to the Behavior Services program in order to support current services.

2. Position Requirements 

  • Must be an Oregon or Washington resident

  • Conduct themselves and represent Among Friends, LLC in a professional manner 

  • Clear and timely communication with Among Friends, LLC’s staff

  • Respond to communications from Among Friends, LLC within 24-36 hours

  • Provide Among Friends, LLC with a copy of their Legal ID and Social Security Card to keep on file

  • Follow all applicable Oregon Administrative Rules and HIPAA laws, including keeping all client information confidential

  • Disclose any circumstance, pending or current investigation, legal proceeding, or other matter which may disqualify you from working with, or having access to, vulnerable populations in the state of Oregon or any other state

  • Consent to and pass an Oregon State Background check through Among Friends, LLC

  • Comfort with group speaking and making scheduling phone calls

  • Ability to type 30+ words per minute

  • Proficiency in using a computer and common computer programs including Outlook,  Google Drive Apps, Search Engines, and Microsoft Office Products such as Word, PowerPoint, Excel, and Publisher

  • A laptop/computer and strong, reliable internet connection where you will be working

4. Hours and Compensation

$19 per hour; 12-16 hours per week. Hour and wage increase to be negotiated after the 90-day probationary period.

1099-NEC are responsible for filing their own taxes.  A W-9 will be completed prior to beginning work.  Among Friends will provide a 1099-NEC form to the contractor for tax purposes.

The hours for this position are between 9am and 6pm, Monday-Thursday.  The position has some ability to negotiate their schedule within our agency hours of operation, but any vacations, time off, and or changes to schedule need to be approved in writing in advance by the Behavior Services Program Director.

This position must be available a minimum of 15 hours per week during standard business hours (between 8am and 6pm). This position is a maximum of 20 hours per week without Program Director approval. 

5. Benefits

Contract employees are not eligible for benefits.

6. Principle Activities/Duties 

Manage all aspects of the scheduling for Behavior Services (once training is complete)

  • Schedule and confirm meetings, interviews, and home visits (zoom vs. phone vs. in person)

  • Document scheduling notes and all appointments in client tracking sheets and staff calendars

  • Have all appointments and interviews confirmed 1-3 weeks in advance

  • Meet scheduling requirements for each staff member

  • Report complications with meeting program billable hour goal to Behavior Services Program Director

  • Maintain scheduling systems and communicate any improvements/ideas to Behavior Services Program Director

  • Other scheduling tasks as needed

Support all aspects of the program with administrative support (once training is complete)

  • Help promote Professional Behavior Services

  • Help generate new behavior services clients

  • Help evaluate Behavior Services Program

  • Data collection / gather client feedback

  • Other tasks as needed/assigned

7. Equipment Required

This position requires:

  • a laptop computer reliable internet service/access

  • smartphone and reliable cell service

8. Accountability 

This position will support the Behavior Services Program Director and Program Manager to develop and manage a successful, fiscally sustainable Behavior Services Program at Among Friends, LLC which focuses on the needs of people with Intellectual and Developmental and Neurological Diversity.
